Job Description:
FUNCTION AND SCOPE:

The facilities Coordinator is responsible for the overall day-to-day oversight of the RF Corporate Office at 35 State Street, ensuring that the facility operates safely, efficiently, and in a manner that supports the organization's mission. This role serves as the primary internal contact for all building-related matters and acts as the liaison between the organization and the property management company, contractors, and service vendors. The Facilities Manager will monitor building operations, review, and approve facility-related invoices, and assist with planning and executing capital improvement projects. This position reports to the Director of Finance and works closely with finance and operations staff on budgeting, capital planning, and vendor management.

DUTIES:
  • Serve as the primary facilities contact for all building-related issues, responding to staff and tenant maintenance requests in a timely manner.
  • Manage handyperson type requests for building.
  • Serve as building emergency and safety lead.
  • Assists with mail, packages, deliveries, etc.
  • Act as the liaison with the property manager, ensuring communication of building needs, scheduled maintenance, and operational updates. This may also require responding to emergency calls and/or working with property management company outside of normal business hours.
  • Review, verify, and approve invoices related to building operations, repairs, utilities, and contracted services. Manage facility budget.
  • Assist in the planning, coordination, and oversight of capital improvement projects, including vendor selection, scheduling, and project documentation.
  • Monitor the performance of cleaning, security, and maintenance vendors to ensure compliance with service agreements.
  • Maintain accurate records of maintenance activities, service contracts, and warranty information.
  • Conduct regular inspections of the facility and immediate outside vicinity to identify safety concerns, trash, needed repairs, and opportunities for operational improvements.
  • Coordinate with responsible party at SUNY System to manage the appropriate badge access for employees entering 35 State Street and the SUNY parking garage.
  • Manage building security cameras and badge access.
  • Manage and update Emergency Notification System.
  • Manage small day-to-day maintenance tasks directly or coordinate with appropriate vendors.
  • Ensure compliance with safety, health, and environmental regulations and organizational policies.
  • Assist with other reasonable duties and responsibilities as assigned by the CFO or Director of Finance.


SPECIAL SKILLS:
Experience working with contractors, reviewing vendor invoices, and managing service contracts. Familiarity with capital improvement projects and basic building systems (HVAC, electrical, plumbing) is preferred. Strong organizational, communication, and problem-solving skills. Proficiency with Microsoft Office Suite and basic facility management software is a plus.

Requirements:
EDUCATION/EXPERIENCE:

Position desires Associate's or bachelor's degree in Facilities Management, Business Administration, Engineering, and a related field and/or Equivalent work experience 3-5 years in facilities management, property management, or building operations or combination of education and work experience.

Compensation for this position:The compensation for this role is between $65,859 - $79,912. The pay will depend on a variety of factors that may include but are not limited to experience, education, training, and certification.
